Filters

Overview

Filters are an easy way to filter information throughout the platform. You can filter users, courses, learning paths, and groups using fields and conditions.

The platform offers multiple ways to filter information:
  1. Search filters: All users can use search filters to quickly locate information in a list.
  2. Automation-based filters: Instructors, teachers, and administrators can use automation-based filters to further define actions and rules.
  3. Visibility filters: Instructors, teachers and administrators can use visibility filters to define specific access to courses, groups, and more.
  4. Export filters: Administrators can use export filters to export specific information from the platform.
Each type of filter will be covered in more detail in this article. 

Basic search filters

Search filters can be applied to a list to search for courses, paths, assignments, and more.

To use a filter:
  1. Access a list.
  2. Click the search icon.

  1. Click the first drop-down list to choose a field for the filter.
    1. The list of available items is specific to each list type.

  1. Click the second drop-down menu to select an operator.
    1. Filters can have different operators, such as contains, equals, and in.

  1. In the text box, enter the filtering term. 
    1. The filter will automatically filter the list.

You can refine your search by adding multiple filters.
  1. To add another filter, click the + button.
  2. To cancel a filter click the X button. 
  3. Click the Save icon save icon to save your filters for future use.
  4. If you want to cancel all of the filters, click the X on the right side of the page.

If you have saved a filter, you can use it for future searches.
  1. Access a list.
  2. Click the search icon.
  3. Click the filter icon.
  4. Your saved filter(s) display below the New filter button.

To delete a saved filter:
  1. Click on the saved filter.
  2. Click the delete icon.

Users list search filters

When searching user lists, you can utilize conditional filters. Conditional filters allow you to utilize And and Or operators to create more refined filters.

To use a conditional filter for Users lists:
  1. Hover over Users on the primary navigation menu.
  2. Select a user group from the fly-out menu, such as Learners, or click All to view all users.
  3. Click the Search search iconicon.
  4. Click the Filter filter icon icon.
  5. Click New filter.

The conditional Filters pop-up displays, where you can define your criteria. Visit the Conditional filters section of this article for detailed instructions.

After configuring the filter criteria, click Save as & Apply. The Users list will update and only display users who meet the filter criteria.

    Automation-based filters

    Automation-based filters allow instructors, teachers, and administrators to define filters for rules in courses, learning paths, and more.

    You can add filters to any rule action:
    1. Add an action to a course, module, learning path, group, etc.
    2. In the Action pop-up, click the + icon in the Filters section.
    3. Select a field from the first drop-down list.

      2. Type a filtering term.

      1. To add another filter, click the + button.
        1. The + button adds an "and" operator, meaning the user must meet all criteria for the action to take effect.
      2. To cancel a filter click the X button. 
      3. Click the Save icon save icon to save your filters for future use.

      If you have saved a filter, you can use it for future searches.
      1. In the Add action pop-up, click the + icon in the Filters section.
      2. Select a saved filter from the Select a predefined filter drop-down list.

      To delete saved filters:
      1. Select the saved filter.
      2. Click the delete icon.

      After adding filters for rules, actions are only performed for users that satisfy the conditions of the filter(s).

      Conditional filters

      The platform also supports conditional filters in several areas. Conditional filters allow you to utilize And and Or operators to create more refined user groups. Conditional filters can now be used across all Users lists, for automatic group membership, and to control the visibility of courses, modules, paths, carousel slides, and more.

      First, it's important to understand how to use the conditional filter pop-up. Conditional filters are more powerful than standard filters because they allow you to stack filter conditions in two ways:
      1. And operators: The user must meet the criteria for all conditions to be included in the group.
      2. Or operators: The user must meet the criteria for at least one condition to be included in the group.
      The example below will show you how to create a conditional filter that uses both And and Or operators:
      1. Create your first filter condition:
        1. Select a field from the first drop-down menu.
        2. Select an operator from the second drop-down menu.
        3. Enter a Filter value for the first filter.
      2. Click Add Condition to add an And operator.

      An and displays to indicate that a user must meet both filter criteria in order to be added the group. To create your second filter:
      1. Create your second filter condition:
        1. Select a field from the field drop-down list (Account role was selected in the screenshot below).
        2. Select an operator from the second drop-down menu (in was selected in the example below).
        3. Enter a Filter value for the filter (Manager was selected in the example below).
      In the example below, a user must live in the city of Los Angeles AND be a Manager to be automatically added to the group. 

      At this point, you can create another And operator, or create a new condition stack with an Or operator. To add an Or operator:
      1. Click Add Condition Stack (OR).


      An OR displays between the existing conditions and a new set of filters (highlighted in the screenshot below). You can now create a secondary set of filter conditions that are independent of the first set. You create the new set of filters in the same way you created the first set:
      1. Select a field from the first drop-down list.
      2. Select an operator from the second drop-down menu.
      3. Enter a Filter value for the first filter.
      4. If you want to add another filter condition, click Add Condition.

      In the example below, a filter has been created that will automatically add any Managers in Los Angeles or New York to your group. To continue expanding your filter:
      1. Click Add Condition to add another And operator.
      2. Click + Add Condition Stack (OR) to add another set of conditions with an OR operator.

      Note that you can add up to three sets of condition stacks separated by OR statements.

      When you have finished creating your filter stack:
      1. Click Save as & Apply.

      The Name this filter field displays.
      1. Name your filter. This name will display on the left as a Filter Group.
      2. Click Save As & Apply.

      In the example below, the new filter is listed in the Automatic membership section. 
      1. Click Edit to edit the filter.
      2. Click Remove to remove the filter.

      If you click Edit, your filter displays. To create a new filter:
      1. Click New Filter Group.
      A blank filter is displayed, allowing you to create a new set of filter conditions. Note that the filter you previously created and saved is listed in the left column. In the screenshot below, the Managers in LA and New York filter displays as a saved filter in the left column.

      Automatic group membership: Conditional filters

      The platform offers a way for administrators to automatically add users to a group when they meet the criteria of a filter. Automatic group membership allow you to use conditional filters, meaning you can utilize And and Or operators when creating your filter conditions. To create an automatic group membership rule that utilizes conditional filters, administrators:
      1. Access a group.
      2. Click Admin from the Groups secondary menu.
      3. Click Membership.
      4. Click Add in the Automatic membership section.

      After configuring the criteria, click Save as & Apply.

      Users who meet the filter requirements will automatically be added as members to the group.

      Visibility: Conditional filters

      Visibility filters allows instructors, teachers, and administrators to define who has access to certain items published in the course catalog. Visibility filters can be added to courses/classes, modules/lessons, sections, paths, bundles, subscriptions, and digital media. Visibility filters can also be added to slides on the Welcome widget on the Dashboard.

      Visibility filters allow you to use conditional filters, meaning you can utilize And and Or statements.

      To add a visibility filter to a course or class:
      1. Access the course or class.
      2. Click Admin from the course navigation menu.
      3. Click the Catalog tab.
      4. Click + Add in the Visibility section.

      1. After configuring the criteria, click Save as & Apply.

      The course, module, section, assignment, or carousel slide will only be visible to users who meet the filter requirements.

      To modify a visibility filter:

      1. Click the edit icon to edit the filter.
      2. Click the remove icon to delete the filter.

      Export filter

      Filters can be used by administrators to filter information when exporting accounts, courses, or paths. This feature allows administrators to export information about learners in a particular organization or course, export all finished courses, and more. 

      To add an export filter:

      1. Click Admin from the primary navigation menu.
      2. Click Export.
      3. Select an export tab.
      4. In the Filter section, click the first drop-down list to choose a field to filter by.

      3. The filter will now apply to your export.
