Dropbox assessment

Overview

A Dropbox assessment is an assessment type that requires learners to upload one or more files as their assessment submission.
This article will cover:
  1. Adding a Dropbox assessment.
  2. The learner submission process.
  3. Scoring a Dropbox assessment.
  4. Downloading Dropbox submissions.
  5. Peer-reviewed assessments.

Please note that the business platform defaults to the term Assessment, and the academia platform defaults to the term Assignment. The terms Assessment and Assignment are interchangeable in this article. 

Adding a Dropbox assessment to a course or class

To add a Dropbox assessment:
  1. Access a course or class.
  2. Click Assessments from the course/class navigation menu.
  3. Click + Add.
  4. Click Dropbox.
  5. Enter the Dropbox assessment instructions and details in the Add Dropbox assessment pop-up.
  6. Click Save.

As an instructor, you can configure a Dropbox assessment to allow learners to leave comments on other learner's submissions. To allow learners to comment on each other's work:
  1. Access the Dropbox assessment.
  2. Click edit in the Assessment widget on the right panel.

In the Dropbox assessment pop-up:
  1. Click the Options tab.
  2. Select Allow learners to comment on other learner's submissions

Learner submissions

To submit an answer for a Dropbox assessment, learners:

  1. Access the Dropbox assessment.
  2. Review the instructions.
  3. Click Prepare answer.

To submit an answer, learners:
  1. Click + Add attachments.
    1. Learners can upload one or more attachments such as Word documents, pictures, videos, and more.
  2. Click Save and submit for grading once they have added their files for submission.
  3. Or, learners can click Save but don't submit yet if they want to edit their work or add additional attachments.

If multiple submissions are enabled for the assessment, learners can send additional attachments. To send another submission, learners:

  1. Access the Dropbox assessment.
  2. Click Prepare another answer.

To view their assessment submissions, learners can:

  1. Click the Submissions tab.
    1. Submissions are converted to be displayed in the web viewer. Please note if the attachment is very large, a notification will be sent to the learner that the attachment is not viewable in the Submissions tab.  
  2. If they have more than one submission, they can click History to view previous submissions.

On the Submissions tab, History page, learners can view previous assessment submissions. To access a particular submission, learners:

  1. Click the  icon in the Show column.

Scoring and grading Dropbox assessments

To score or grade a learner's Dropbox assessment submission:

  1. Click Assessments from the course navigation menu.
  2. Click the Dropbox assessment.
  3. Click the To score tab.
    1. Academia platform users will click the To grade tab.
  4. Click the icon in the Show/Score column.


If the learner added a document as an attachment to the submission, it will be embedded in the web viewer. To score or grade the submission:
  1. Enter a score in the Score widget in the right panel.
  2. Enter a comment in the Comment widget (optional).
    1. Click Post to post the comment.

You can also use the annotation ribbon at the bottom of the viewer to add a highlight, strikeout, draw, and/or add notes on the submission.

Please note that the annotations will be visible for learners only when you enter the score for the submission.

Please note that the web viewer for submissions is an app in the App center.

Administrators can enable or disable the Submission web viewer by installing or uninstalling the app from the Assessment section of the App center.

Downloading submissions

You also have the ability to download user submissions. To download a .zip file of all the latest submissions for a Dropbox assessment:

  1. Click Assessments from the course navigation menu.
  2. Click the Dropbox assessment.
  3. Click the To score tab.
    1. Academia platform users will click the To grade tab.
  4. Click Download submissions.

This creates a .zip file that can be downloaded.  You will get a notification when the link is generated:

  1. Click the Notification icon on the top menu.
  2. Click the Archive generation completed notification from the list.

The notification opens.
  1. Click on the link in the notification pop-up to start the download.
    1. Please note that the .zip file can be up to 1GB in size.

To open the download .zip file:

  1. Unzip the file.
  2. When unzipped, the top-level folder will be called Course_<name of course>_Assessment_<name of assessment>.
  3. Within the folder is a folder for each learner, called <name of learner>-<LMS ID>.
  4. Inside the learner folders are the files associated with their latest submission.

Peer-reviewed assessments

Peer review assessments allow learners in a course to review each other's work via a rubric and add comments. This feature is available for Dropbox assessments in instructor-led and blended courses.

Please note that peer reviews are not used for grading purposes, only for providing useful feedback to other learners.

To use this feature, administrators must first install it in the App center. To install the app, administrators,

  1. Click Admin in the primary navigation menu.
  2. Click App center from the fly-out menu.
  3. Install the Peer reviewed assessments app in the Assessment section.

After the app is installed, the "Peer reviews" option will be available for Dropbox assessments. To enable peer reviews for an existing Dropbox assessment:

  1. Click Assessments from the course navigation menu.
  2. Click the Dropbox assessment.
  3. Click edit in the Assessment widget on the right panel.
  4. Click the Options tab.
  5. Check the Peer reviews checkbox.
  6. Anonymous reviews: Enable this setting if you do not want learners to know who provided the peer review.
  7. Assigning reviews: Select if you would like peer reviews to be assigned automatically or manually.

If an assessment has peer reviews enabled, it is indicated with the peer review icon on the course Assessments list.

To view the number of peers assigned to a learner:

  1. Click Assessments from the course navigation menu.
  2. Click the Dropbox assessment.
  3. Click the Scores tab.
    1. Academia platform users will click the Grades tab.
  4. Review the Peers assigned column.

Manually assigning peers

When viewing a learner submission, the Assigned peers widget in the right panel also displays the users assigned for peer reviews. To manually add or remove peers:
  1. Click assign in the Assigned peers widget.

  1. Course learners display in the left column.
  2. Users that are assigned for peer reviews are listed in the Selected column on the right. 
  3. Select users and utilize the right and left arrows to add or remove users from the Selected  list.
  4. Click Save.

Automatically assigning peers

To assign peers automatically:
  1. Click Assessments from the course navigation menu.
  2. Click the Dropbox assessment.
  3. Click edit in the Assessment widget on the right panel.
  4. Click the Options tab.
  5. Select Automatically in the Assigning reviews section.
After selected Automatically, two new settings become available:
  1. Reviews per user: Enter the number of reviews you would like per user. 
  2. Peer assign date: Select the date for peers to be assigned.
    1. Please note that if you leave the date field blank it will default to the due date of the assessment or the end date of the course if the assessment doesn't have a due date.

When the peer assign date is reached, the system considers all learners who have submitted assessments and assigns them to peer review other learner's assessments.

  1. If enough learners have completed their assessment for peer review assignments to be made, each learner is notified they have assessments to review (notification shown below).
  2. If the automatic peer assign cannot be done, the instructor is sent a notification with the reason for the failure.

Please note that once automatic peer assessments are completed, an instructor can still manually assign peers.

After clicking the link, the learner will see the other learner's submission.  
  1. Reviewers can fill in a rubric (if enabled for the assessment) or leave a comment in the right panel.

When the learner saves a rubric and/or leaves a comment, the learner who made the submission will receive a notification.

When learners view their assessment, the "Peer reviews" widget in the right panel indicates how many peers reviews the learner has given and how many they have received.

To view peer reviews, learners:

  1. Click Assessments from the course navigation menu.
  2. Select the Dropbox assessment.
  3. Click the Reviews given tab to access reviews they have given.
  4. Click the Reviews received tab to access reviews they have received.
