Google Drive assessments

Overview

The Google Drive assessments feature allows instructors to share assessment files directly from their personal Google Drive with their learners. The feature enables Google Drive to automatically create an individual assessment file for each student, eliminating the need for learners to navigate away from the learning platform and into another browser window. Additionally, the learner assignment files are saved directly into the instructor’s Google Drive for easy access.

Please note the business platform defaults to the term assessment, and the academia platform defaults to the term assignment. The terms assessment and assignment are interchangeable in this article. 

Installing the Google Drive assessments app

To begin using Google Drive assessments, an administrator must first install the app from the App center. To install the app, administrators:
  1. Click Admin from the primary navigation menu.
  2. Click App center from the fly-out menu.
  3. Click Install on the Google Drive assessments app in the Assessment section.

Adding Google Drive assessments

Once the Google Drive assessments app is installed, you can begin adding Google Drive assessments to your courses. To begin:

  1. Access a course or class.
  2. Click Assessments from the course navigation menu.
    1. Academia platform users will click Assignments from the class navigation menu.
  3. Click Add.

  1. Click Google Drive assessment.

  1. Enter a Title for the assessment.
  2. Configure the assessment based on your business or school's standards.

  3. Enter user instructions.
  4. Click Save.

The Assessment page displays. In order to use Google Drive assessments, you must enable Google Drive access. To enable Google Drive access:

  1. Click Enable

A pop-up will prompt you to sign in with your Google Drive credentials.

  1. Select your Google account and sign in with your Google Drive credentials.
  2. Click Allow on the confirmation screen to allow the learning platform to access your Google Drive files.

After connecting your Google Drive account, you can add a Google Drive file to the assessment. To add a file:

  1. Click the Google Drive file tab.
  2. Click Select.

Note: If you do not select a specific document, Google Drive will create a new blank document for each learner in Google Drive when you give the assessment.

Files from the connected Google Drive account are listed.

  1. Select the file(s).
  2. Click Select

The selected file displays.
  1. If you would like to change the file, click Change file.
  2. If the file you want added to the assessment is displayed, click Save.

The Google Drive file is embedded on the Google Drive file tab in the assessment.

Please note that Google Docs, Google Sheets, and Google Slides files will appear embedded on the page. PDFs and Microsoft Office files will not be embedded.

Instructor view

Once a Google Drive assessment is added to a course, instructors can view, edit and grade the assessment from the Assessments page.

To access the assessment:
  1. Access the course or class.
  2. Click Assessments from the course navigation menu.
    1. Academia platform users will click Assignments from the class navigation menu.
  3. Click the Google Drive assessment.

If you have already given the assessment, you can view learner submissions. To view learner assessment submissions:
  1. Click the Scores tab.
The edit  icon displays for learners who have submitted an assessment, along with a Submitted date. To score/grade a submitted assessment:
  1. Click the edit  icon in the Show/Score column for the learner.

The assessment page opens with the learner's embedded Google Drive submission. To score the assessment:
  1. Review the embedded Google Drive submission.
  2. Enter a score or grade in the Score widget in the right panel.
  3. Enter a comment in the Comments widget (optional)
    1. Click Post to post a comment.

Learner view

To access a Google Drive assessment, learners:

  1. Access the course or class.
  2. Click Assessments from the course navigation menu.
    1. Academia platform users will click Assignments from the class navigation menu.
  3. Click the Google Drive assessment.

The assessment instructions display. To access the Google Drive assessment, learners:

  1. Click Prepare answer.

The Google Drive document opens, and is embedded in the assessment. To proceed, learners:

  1. Complete the assessment by following the instructions in the Google Drive document.
  2. To enter a comment (optional):
    1. Type the comment into the Comment widget in the right panel.
    2. Click Post.
  3. After finishing the assessment, click Submit answer to submit the assessment to the instructor.

Note that by default, once the assignment is submitted, no edits can be made to the document. However, if the instructor allows multiple submissions for an assignment, learners can edit and resubmit the assignment.
