Overview
The Agent knowledge base allows instructors and administrators to upload documents, videos, PowerPoint decks and more, to create a library of knowledge that can be utilized by 
CYPHER Agent for learners. CYPHER Agent for learners uses the information and images from your Agent knowledge base to create lessons when asked questions related to the uploaded files.
This powerful new feature makes CYPHER Agent smarter about your organization and more useful than ever before.
Enabling Agent knowledge base
To use Agent knowledge base, it must first be enabled by administrators. To enable Agent knowledge base, administrators:
- Click Admin from the primary navigation menu.
 
- Click CYPHER Agent from the fly-out menu.
 
- Click the Features tab.
 
- Select the Enable knowledge base checkbox.
 

Adding content to the Agent knowledge base
To add information and images to the Agent knowledge base, first, upload content as a Resource. You can add existing Resources to the knowledge base, or upload new files as Resources. To upload content as a Resource:
- Click Resources from the primary navigation menu.
 
- Click + Add from the fly-out menu.
 
- Select File from the Add resource pop-up.
 
- Upload your file. The following file types are supported:
 
- doc, docx, mp4 video, ppt, pptx, pdf, txt.
 
- Both text and images will become part of the Agent knowledge base.
 
- When uploading your resource, select a Library that will be shared with other users if you want to the information to be referenced by CYPHER Agent for your organization, school, or business.
 
- Select Organization to make the information available for users in your organization.
 
- Select Business to make the information available for users in your business.
 
- Select Network to make the information available for users in your network. 
 
- Note: Networks are comprised of multiple business sites that are networked together.
 
-  Select the Allow learners to access? checkbox if you would like learners to be able to directly access the resource when it is used by CYPHER Agent.

Once your file has been uploaded, access the file's Details page. To access a resource's Details page:
- Click Resources from the primary navigation menu.
 
- Click Catalog from the fly-out menu.
 
- Use the Search widget in the right panel to locate the resource.
 
- Click the Resource tile.
 
- Click Details.
 
The resource Details page displays.
To add the resource to your Agent knowledge base:
- Locate the Agent knowledge base widget in the right panel.
 
- Click Sync.
 
- The file status will change to 'In progress' while it is syncing to the Agent knowledge base.
 

In the Library section in the right panel, note that the Scope for this resource is Business, meaning CYPHER Agent will reference this content for users in your business.
When the file has been added to the Agent knowledge base, the sync date will display, and the Enabled status will be set to True.
- Click Re-Sync if you have made changes to the file and want to Re-sync it with the Agent knowledge base.
 
- Click Disable to keep the document in the Agent knowledge base, but disable the information from being retrieved by CYPHER Agent.
 
- Click Remove to completely remove the document from the Agent knowledge base.
 
Please note that the Agent knowledge base image feature launched in early October. If you uploaded documents prior to October 2025 and want to sync the images from the uploaded documents, please Re-sync your file(s).
Managing the Agent knowledge base
Adding documents to the Agent knowledge base broadens the scope of information used by CYPHER Agent for learners, and helps customize the tool to your organization. When learners ask CYPHER Agent a question, CYPHER Agent will review your internal Agent knowledge base for information and images, helping to create a custom answer that is relevant to your organization.
To quickly review the documents that are a part of your Agent knowledge base:
- Click Resources from the primary navigation menu.
 
- Click Catalog from the fly-out menu.
 
- Select the Yes checkbox below Agent knowledge base in the Search widget.
 
All documents that are a part of your Agent knowledge base display.

When learners ask CYPHER Agent a question related to files in the Agent knowledge base, CYPHER Agent will use content and images directly from your synced files. 
- When content from CYPHER Agent knowledge base is used, the info  icon displays. icon displays.
 
- If you selected the Allow learners to access? checkbox when uploading the resource, users can click the info icon to directly access the referenced resource.
Creating content and the Agent knowledge base
During the CYPHER Agent course creation process, you can select or upload a file to add to the Agent knowledge base. To add a file to the Agent knowledge base during the course creation process:
- Click the CYPHER Agent floating icon.
 
- Click Add a course.
 
- Name the course, select a style, add the course duration, and select an organization.
 
- Complete the General course prompts.

- Click the Custom data heading.
 
- Select the Yes radio button to use custom data.
 
- Click + Select file.
The Upload file pop-up displays. You can choose to upload a local file or select a file from existing resources.
- Local tab: Drag and drop, or click to browse for a local file.
 
- Resources tab: Select an existing resource.
 
- Add source tab: Select a source such as OneDrive to upload a file.
 
- Click Upload.
 
The selected file displays and will be automatically synced with the Agent knowledge base.  The information and images from the file will be used to create the course, when applicable. If you would like CYPHER Agent to only create the course based on information in the selected file:
- Select the Restrict to provided content? checkbox.
