Overview
The platform has a built-in, private messaging system that does not require an email address.
To quickly view messages:
Click the Messages icon on the top navigation bar.
To read a message, click its subject.
You can reply to a message directly from the pop-up:
- Click Reply.
- Enter your response.
- Click Send.
See all messages
To see a complete list of your messages:
- Click the Messages icon in the top-right.
- Click See all.
From the messages page, you have additional options:
- Click Search to search messages by content or user.
- Select messages, and mark them as read or unread.
- Select messages and click Delete to delete messages.
- Click Clear inbox to delete all messages.
Retention Note: Any read or unread messages in your inbox will never be deleted. Once the messages are deleted from the inbox and/or outbox, they will be permanently deleted. To see the content of the message, click on its subject. Note that all recipients of the message are listed in the To and Cc fields.
- Click Sent mail to see all your sent messages.
- Click Clear outbox to delete all sent messages.
Send a new message
To send a new message:
- Click the Messages icon on the top navigation bar.
- Click + New message.
You can also message users from their profile page:
- Access a user's profile page.
- Click Message.

If you want to ignore messages from a user, click Ignore messages.
After clicking Message, the New message pop-up displays.
- Add user(s) in the To field.
- To activate the Carbon copy (Cc) and Blind carbon copy (Bcc) fields, select Cc or Bcc from the drop down menu in the upper-right corner of the pop-up.
- Please note that if you want to send a Bcc message, you need to add yourself in the To list.
- Type your message.
- For convenience, URLs in messages are automatically converted into clickable links.
- Click Send.
Note that you can use drag-and-drop to move users between To, Cc, and Bcc within the messaging pop-up.
To send a message to a list of users:
- Click Users from the primary navigation menu.
- Select My friends or Instructors.
- Select the users from the list.
- Click Message.
Context
If a user sends you a message from a particular course, the "From" field also displays a link to the associated course.
This is very useful for instructors who receive a large quantity of messages from learners in different courses.
If enabled on your platform, you can request copies of messages to be sent to your email and/or SMS address. Messages can be copied independently or combined into a single 'digest' message and sent once a day.
To configure Email integration:
- Click the Messages icon in the top navigation bar.
- Click Configure at the top of your inbox.
- Click All to receive copies of messages at your email address.
- Click Digest to have messages combined into a single message and sent once a day.
- Note that this feature isn't available until you add your email or SMS address.
- The platform sends SMS messages via your provider's email gateway. For example, if you use AT&T, your SMS address will be of the form [your phone number]@txt.att.net.
Signature
You can configure a signature that is automatically added at the bottom of every message/posting you send.
To add your signature:
- Click the Messages icon in the top navigation bar.
- Click Add under Signature.
The Signature pop-up displays.
- You can include text and images in your signature.
- Click Save.
After a signature is added, you can edit or clear it.
Universal Translator
The messaging system is specially designed for use in an international environment, and always delivers messages in the native tongue of the reader. For example, if a Spanish user sends a message to an English user, the message is automatically translated from Spanish into English. Messages, notifications, and forum posts are translated using Google translate in the language that the user has set for his account as long as the sender who posts the reply, sends the message, etc. has a different language setting.
Please note that the language of the menus within your site are changed based on the user's language settings and are not affected by the translation app. Please also note that the course content that you create on your portal will always show up in the original form without being affected by the language that your users chose or by the translation app.
Security
The messaging system is secure and ensures that members do not receive unauthorized messages. For example, if a school chooses to be a 'walled community', then its learners may only receive messages from their parents and other members of the school.
Here is the complete set of rules used by the message security system when deciding whether a message can be sent. The rules are applied from top to bottom until a rule either allows or denies the message. All subsequent rules are then ignored.
- Allow someone to message themselves.
- Allow the system administrator to message with anyone.
- Allow messaging between an administrator and anyone in their business.
- Allow messaging between an instructor and their learners.
- Deny messaging between learners if policy prevents it.
- Deny messaging between learners if they're in course hours and the course configuration prevents it.
- Allow and discard messages from people who are being ignored by the receiver.
- Allow messaging between learners in the same course.
- Deny messaging between learners if they're in different businesses and either business is walled.
